Brokerage Support Job Description
Qualifications
- Highly organized, detail-oriented
- Creative problem solver
- Ability to multi-task and handle conflicting priorities for a team of driven commercial real estate sales agents
- Strong written and oral communication skills
- Proficiency with Word, Excel and Access (or other database programs)
General Brokerage Support Activities and Responsibilities
- Assist in pursuing, proposing, competing for and winning new Property Listings & Tenant Representation business;
- Manage day to day activities in collaboration Team;
- Collaborate with Marketing Department and 3rd party marketing firm (OIC Team marketing, market research & communications/social media);
- Listing Database Maintenance from effective date until successful conclusion or earlier termination;
- Database Management (Goldmine) and Network File Maintenance;
Specific Brokerage Support Tasks
- Collaborate with OIC Team and Team Leader to assist with the following:

- Prepare signage request forms and coordinate for installation and removal of sign
- List, input data and update properties in CoStar, Loopnet, CRexi, Buildout & TD&A on a regular basis;
- Create, update and maintain Listing Activity Reports for clients and Listings Database for each active listing;
- Schedule blast (electronic) marketing of listed properties;
- Coordinate broker events and broker incentive offerings;
- Assist with coordinating property tours, client meetings, client reporting, correspondence;
- Create marketing packages and brochures, including:

- Collect the necessary information for creation of marketing materials (New Listing Checklists, pictures, floor plans, site plans, etc.);
- Create data sheets and demographics reports to accompany marketing;
- Collaborate with Marketing Department to create fliers, comprehensive brochures and proposals for new brokerage business, press releases and social media posts;

- Draft press releases;
- Draft Listing and Tenant Representation Agreements, maintain boilerplate documents, including assistance with lease proposals, purchase proposals, RFP’s and the like;
- Develop streamlined system for responding to internet inquiries from prospects (on CoStar, Loopnet, CREXi, Buildout)
- Market Research
- Collaborate with agents and prepare and maintain “Target Prospect Tenant and Buyer” lists, in general and for specific opportunities;
- Identify “decision makers”, obtain contact information, input into contact management system
- Miscellaneous
- Take diligent notes during conference calls, zoom calls and meetings;
- Assist with clean-up of file system as relates to OIC Team’s business
